Job Summary: We are seeking a highly organized, proactive, and detail-oriented Administrative Assistant with experience in HR administration and office management to provide comprehensive support across multiple business functions. This pivotal role will be responsible for managing HR-related tasks, office operations, and a variety of administrative functions, ensuring the smooth running of daily business activities. The ideal candidate thrives in a fast-paced environment, demonstrates strong multitasking abilities, and excels at problem-solving while maintaining a positive and professional attitude. Key Responsibilities: Administrative Support: Manage and prioritize calendars, meetings, and appointments for CEO Prepare and edit correspondence, reports, and presentations with a high level of accuracy and professionalism. Maintain and organize records, ensuring they are easily accessible and confidential. HR Administrative Support: Manage HR-related tasks including onboarding, maintaining employee records, and scheduling interviews or training sessions. Assist with payroll and benefits administration , ensuring accuracy and confidentiality. Maintain and organize HR documentation and employee files, ensuring compliance and confidentiality. Office Management & Administration: Oversee daily office operations, including managing office supplies, vendor relationships, and maintaining an organized, efficient workspace. Coordinate office events, meetings, and other logistical requirements, ensuring smooth operations. Ensure the office environment is safe, efficient, and welcoming for all employees. Marketing Material Coordination: Oversee the ordering, tracking, and inventory of marketing materials, ensuring timely distribution to teams or events. Liaise with vendors to ensure quality, cost efficiency, and brand alignment of marketing materials. Coordinate the distribution of marketing materials for campaigns, events, or sales teams. Project Management & Cross-Functional Collaboration: Assist with the planning, execution, and monitoring of projects , ensuring deadlines and objectives are met. Identify inefficiencies in administrative workflows and recommend process improvements. Act as a liaison between HR, marketing, and other teams to ensure seamless communication and task execution. Assist in organizing company-wide events and initiatives. Reporting & Documentation: Compile, analyze, and distribute reports related to HR and marketing activities. Support the creation of presentations, spreadsheets, and other materials for leadership use. Maintain an organized filing system for all HR, marketing, and administrative records. Key Competencies and Skills: HR & Office Management Experience: At least 4-5 years of experience in HR administration and office management, ensuring smooth operational support for the company. Organization & Multitasking: Strong ability to juggle multiple priorities, managing competing deadlines with accuracy and attention to detail. Communication: Excellent written and verbal communication skills for internal and external correspondence. Proactive Problem-Solving: Ability to anticipate challenges and take initiative in implementing solutions. Technical Proficiency: Advanced skills in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook); familiarity with HRIS or CRM tools is a plus. Attention to Detail: High accuracy in handling data, managing records, and completing tasks. Team-Oriented Mindset: Collaborative approach to work, fostering positive relationships across departments. Qualifications: 4-5 years of experience in administrative roles with a focus on HR administration and office management . Strong communication, interpersonal, and organizational skills. Bachelors degree in business administration, Marketing, HR, or a related field (preferred but not mandatory with relevant experience).
