Job Description: To provide administrative support to the General Manager, Rigid Packaging and Manufacturing Group. Routinely deals with very important information and handles financial and other records of a highly confidential nature. Receives visitors and provides special assistance as necessary during their visit. Handles communications covering diversified subjects, drafts reply to general correspondences of a minor nature on own initiative, frequently requiring a wide knowledge of company policy or standard operating procedure. Also, to local and provincial government agencies on a variety of subjects. Handles travel arrangements and passport/visa for GM and team members. Maintains schedule + calendar for GM (appointment and meetings) prioritizing as needed. Coordinates executive visits to the STC. Includes all arrangement for lodging, meetings, luncheon, dinners, etc. Frequently communicates GMs instruction to various individuals or departments exercising tact, discretion, independent judgment and a knowledge of company organization and personnel. Conserves GMs time by handling routine details, preparing expense reports, sorting, and routing mail, sending facsimiles, checking, and correlating reports, preparing letters and document for signature and by screening visitors and phone calls not requiring their attention Handles other miscellaneous special assignment for administrative staff, sometimes involving contact with other business or company representatives where tact, good judgment and personal poise are essential. Handle all issues on Husky condo apartment and rented HDB flat, and local accommodation of Rigid packaging team and visitors Assist the GM to coordinate all office administration activities. Develop solid relationship with local government and agencies in relations to Office incorporation issues and business licenses in Singapore. Develops and maintains relationship with suppliers and clients to ensure the Company always being treated /handled appropriately. Key Responsibilities/Areas of Accountability: Excellent oral and written communications skills High level of professionalism, integrity, personality, and tact Proactive in setting up systems and procedures Proficiency in MS power point, word, excel and others as required, preparation of professional presentations. Must be resourceful and work well under pressure. Technical/Professional Knowledge, Skills & Abilities Strong interpersonal skills Report writing skills Strong communication skills Qualifications: Education: Diploma in Business administration or equivalent Related Experience: At least 5 years of experience as a Personal Assistant in an MNC, working for senior level management team.
