They act as the primary point of contact between the customer and the company, managing orders, resolving issues, and facilitating smooth communication across various departments. The role combines customer service excellence with order management tasks to meet client needs and business goals. Roles & Responsibilities:Order Management:Process customer orders from receipt to fulfillment, ensuring accuracy and timely delivery.Monitor and track order status, address any delays, and proactively communicate with customers.Manage returns, exchanges, and cancellations in accordance with company policies.Collaborate with inventory and logistics teams to resolve stock or shipping issues.Customer Service Support:Provide excellent customer service by responding to inquiries, handling complaints, and offering solutions.Address customer concerns regarding order status, product availability, and shipping.Resolve customer issues promptly and efficiently, ensuring customer satisfaction.Maintain a positive, empathetic, and professional attitude toward customers at all times.Communication:Communicate effectively with internal teams, including sales, marketing, and operations, to ensure smooth order fulfillment and resolution of customer issues.Keep customers informed of order status, shipment tracking, and any issues or delays.Data Entry and System Maintenance:Accurately input customer orders, returns, and exchanges into the order management system.Maintain detailed records of customer interactions, transactions, and complaints.Reporting and Analysis:Generate and analyze reports on customer service performance, order processing times, and customer feedback.Identify trends, issues, or opportunities for process improvements in order fulfillment and customer service.Skills & Qualifications:Proven experience in customer service and order management, preferably in a fast-paced environment.Ability to handle multiple tasks and prioritize effectively.Knowledge of order management systems and CRM tools.Attention to detail and a strong focus on accuracy.Problem-solving skills and ability to work under pressure.Ability to analyze data and generate reports.Proficiency in Microsoft Office (Excel, Word, etc.). This role requires leadership, organization, and attention to detail to maintain an accurate inventory, comply with regulatory requirements, and ensure the timely delivery of products to customers or healthcare providers. Roles & Responsibilities:Warehouse Operations:Supervise daily warehouse activities, including receiving, storing, inventory management, and shipping of orthopedic products.Ensure that products are stored in the correct locations, utilizing proper handling techniques to avoid damage and maintain quality.Oversee the picking, packing, and shipment of orders, ensuring that they are accurate and meet customer specifications.Implement and enforce safety protocols to ensure compliance with OSHA, FDA, and other relevant regulations governing orthopedic products.Inventory Management:Maintain accurate inventory records, tracking product levels, movements, and stock rotation.Perform regular physical inventories and reconcile with the warehouse management system (WMS) to prevent discrepancies.Ensure proper labeling, barcode scanning, and tracking of all orthopedic products to facilitate easy identification and efficient stock rotation.Regulatory Compliance & Quality Control:Ensure compliance with industry standards, including FDA, GMP (Good Manufacturing Practices), and other regulatory bodies governing the storage and handling of orthopedic products.Maintain cleanliness and organization within the warehouse to comply with regulatory requirements and avoid cross-contamination or damage to products.Monitor and ensure that products are handled, stored, and transported according to established guidelines to maintain their integrity and prevent product recalls or errors.Conduct routine inspections to verify product quality and document any defects or discrepancies.Shipping & Receiving:Oversee the receiving process, ensuring that incoming shipments are inspected for accuracy, quality, and condition.Coordinate the timely shipping of orders to customers, distributors, and healthcare facilities, ensuring compliance with delivery deadlines and customer expectations.Maintain relationships with shipping carriers to ensure cost-effective and efficient transportation of products.Process Improvement & Efficiency:Identify opportunities for improving warehouse processes, reducing errors, and increasing overall efficiency.Implement best practices in warehouse management, including the use of technology such as barcode scanners, RFID, and warehouse management systems (WMS) to streamline operations.Monitor performance metrics and take corrective actions as necessary to meet operational goals related to order accuracy, inventory turnover, and shipping times.Health and Safety:Ensure the warehouse operates in a safe and efficient manner by enforcing workplace safety standards and OSHA guidelines.Conduct safety audits and risk assessments regularly to identify and mitigate potential hazards.Ensure that all warehouse equipment (e.g., forklifts, pallet jacks) is properly maintained and operated by certified staff.Reporting & Documentation:Maintain accurate records of inventory transactions, shipping and receiving activities, and any incidents that occur within the warehouse.Prepare and present regular reports on inventory levels, warehouse performance, and any operational issues to senior management.Ensure proper documentation is maintained for regulatory compliance, product traceability, and audits.
