Job Description

The candidate will be responsible for overseeing daily administrative tasks, supporting the maintenance and operation of office facilities, and ensuring smooth office operations. This role requires excellent organizational skills, the ability to manage multiple tasks, and a strong commitment to delivering efficient support to the organizations staff. *Immediate Joiners preferred who can join immediately. Role & Responsibilities : 1) Facility Management: Oversee the maintenance of office facilities, including cleanliness, utilities, and overall office environment. Coordinate with vendors and service providers for regular maintenance, repairs, and inspections. Monitor and ensure compliance with safety and environmental regulations. Manage office space allocation and seating arrangements based on business requirements. Ensure the efficient functioning of office equipment and facilities. 2) Admin Support: Provide administrative support to various departments as needed, including handling correspondence, managing records, and scheduling meetings. Assist with the procurement of office supplies, equipment, and stationery. Coordinate and maintain office schedules, calendars, and appointments. Support employee travel arrangements, including bookings and itineraries. 3) Health, Safety, and Security: Ensure the health and safety standards are met, including fire drills, first aid kits, and emergency evacuation procedures. Liaise with security services to ensure the safety and security of office premises and employees. 4) Event Management: Assist in organizing company events, meetings, and conferences. Coordinate logistics for internal and external events, ensuring smooth execution. 5) Vendor Management: Manage relationships with service vendors (cleaning, maintenance, security, etc.). Ensure service contracts are adhered to and address any performance issues. Monitor and control facility budgets. 6) Budget and Cost Management: Assist in managing and controlling the facility management budget. Track and report expenses related to facility management and administrative services. 7) Team Collaboration: Work closely with other departments to provide efficient administrative and facility support. Act as a point of contact for staff regarding administrative and facilities-related queries. Preferred candidate profile: i) Bachelors degree in Business Administration, Facility Management, or a related field. ii) 4-7 years of experience in administration, office management, or facility management. iii) Proven experience in vendor management, office coordination, or facilities-related roles is preferred. iv) Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint). v) Strong communication skills, both written and verbal. vi) Ability to work effectively in a team-oriented, fast-paced environment. vii) Excellent problem-solving and multitasking abilities.
