Job Description

Key Responsibilities: 1. Administrative Support - Oversee the CMDs daily schedule, including appointments, meetings, and travel arrangements. - Act as the CMD's liaison, handling all communication (calls, emails, social media, media requests) and ensuring timely responses. - Serve as the information hub, keeping the CMD informed on key priorities and developments. 2. Communication & Coordination - Manage correspondence, drafting memos, emails, and presentations on behalf of the CMD. - Facilitate internal and external communication, ensuring timely responses and follow-up on key matters. - Coordinate meetings, prepare agendas, take minutes, and track action items for completion. 3. Event & Project Management - Plan and organize corporate events, meetings, conferences, and business dinners as required. - Assist in managing key projects and initiatives, tracking progress and ensuring that deadlines are met. 4. Research & Reporting - Conduct research, compile data, and prepare daily, monthly, quarterly, and annual reports for the CMD. - Prepare presentations, briefing materials, and other documents as needed for the CMD's meetings and engagements. 5. Systems & Process Improvement - Assist the CMD in implementing new systems and processes for operational efficiency. - Identify areas for improvement in administrative processes and suggest enhancements. 6. Expense & Budget Management - Manage the CMDs expense reports, process reimbursements, and ensure accurate tracking of business expenditures. - Support in preparing budgets and financial reports. 7. Strategic Support - Act as the CMDs eyes and ears within the organization, offering insights and recommendations when necessary. - Anticipate and prioritize the CMDs needs, ensuring their time is maximized. - Make informed decisions on behalf of the CMD when necessary. 8. Team Management - May supervise and train other assistants or clerical staff in the executive office. - Provide guidance to the administrative team to ensure smooth office operations. 9. Personal Assistant Duties (Optional) - Provide personal support to the CMD, handling personal tasks and family-related logistics as needed. Qualifications: - Bachelor’s degree in Business Administration, Communications, or a related field. - 8+ years of experience as an Executive Assistant, preferably supporting senior executives in a real estate or related industry. - Excellent written and verbal communication skills. - Strong organizational skills with the ability to prioritize and handle multiple tasks efficiently. - High level of discretion and confidentiality in managing sensitive information. - Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other office management tools.
