Job Description

Executive Assistant to CEO Key Responsibilities: Manage and prioritize the CEO’s daily tasks, ensuring timely completion and follow-up. Coordinate and maintain the CEO’s calendar, scheduling meetings across multiple time zones efficiently. Draft, record, and publish accurate minutes of meetings, ensuring timely circulation and follow-up actions. Collaborate closely with various team leads to synchronize activities with the CEO’s schedule. Oversee official expense management for the CEO, including credit card usage and reimbursements, ensuring accuracy and compliance. Handle day-to-day office operations to maintain smooth functioning of the workplace. Facilitate effective communication and coordination between internal teams and external stakeholders. Plan and organize meetings, appointments, company events, luncheons, and team-building activities. Coordinate travel arrangements, including booking accommodations and reservations as required. Maintain confidentiality of all sensitive and proprietary information. Manage databases, including customer contact information, ensuring accuracy, security, and validity of data. Perform clerical duties such as memo taking, file organization, document management, photocopying, and faxing. Manage incoming and outgoing mail, ensuring proper routing and processing. Assist designated leaders with expense claim procedures, ensuring timely submission and accuracy. Engage professionally with office vendors, visitors, and other external contacts.
