Job Summary The Executive Assistant to the Director provides high-level administrative support by managing schedules, coordinating meetings, handling communications, and ensuring the smooth operation of daily activities. This role requires discretion, strong organizational skills, and the ability to handle confidential information with professionalism. Key Responsibilities Administrative Support Manage the Directors calendar, schedule meetings, and coordinate travel arrangements. Screen and prioritize emails, calls, and correspondence. Prepare reports, presentations, and other documents as required. Maintain records and filing systems for easy access to important documents. Handle expense reports, invoices, and budget tracking. Meeting & Communication Coordination Arrange and facilitate internal and external meetings, ensuring agendas and materials are prepared in advance. Take minutes during meetings and follow up on action items. Serve as the primary point of contact between the Director and other stakeholders. Draft emails, letters, and official communications on behalf of the Director. Project Management & Support Assist in the planning and execution of strategic projects. Conduct research and compile data for decision-making. Coordinate with different departments to ensure smooth workflow. Confidentiality & Discretion Handle sensitive information with the utmost confidentiality. Exercise discretion in dealing with high-level business matters. Event Planning & Coordination Organize company events, conferences, and off-site meetings. Manage logistics, vendors, and travel arrangements for corporate events. Qualifications & Requirements Master’s degree in Business Administration, Communications, or a related field preferred. Proven experience as an Executive Assistant, Personal Assistant, or similar role. Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and calendar management tools. Excellent verbal and written communication skills. Strong organizational and time-management abilities. Ability to work under pressure and handle multiple priorities. High level of professionalism, discretion, and integrity. Preferred Skills Experience in [Industry-Specific Knowledge, if applicable]. Familiarity with project management tools (Asana, Trello, Monday.com). Strong problem-solving skills and proactive attitude.
