Job Description

Role Overview: The Executive Assistant (EA) to the Managing Director (MD) will provide high-level administrative and business support to optimize the MD's time and workload. This role requires discretion, exceptional organizational skills, and the ability to manage competing priorities effectively. Essential Duties and Responsibilities: MIS Preparation: Research data and assist in preparing presentations and reports. Leadership Support: Communicate the MD's vision to Heads of Departments (HODs). Conduct weekly and monthly review meetings for Level 1 and Level 2 employees. Align flagship targets and ensure accountability across teams. Research and Innovation: Conduct product and business research to support strategic decision-making. Time Optimization: Leverage AI tools and strategies to enhance productivity and free up 50% of the MDs time. Schedule Management: Create agendas, schedule appointments, and prioritize tasks to optimize the MDs time. Communication Handling: Manage emails, phone calls, and other correspondence efficiently and professionally. Meeting Organization: Prepare agendas and minutes, organize meetings, and arrange necessary catering. Confidentiality Management: Handle sensitive information with utmost discretion. Administrative Support: Perform tasks such as typing, dictation, creating spreadsheets, and maintaining organized filing systems. Event Planning: Organize internal and off-site events as required. Visitor Coordination: Screen and welcome visitors, directing them to the appropriate department or personnel. Minor Accounting Support: Provide basic assistance with accounting tasks as needed. Skill / Competencies Required: Independent Decision-Making: Ability to work autonomously and manage competing demands effectively. Organizational Expertise: Strong multitasking and organizational skills. Scheduling Proficiency : Experience managing professional and personal schedules, including agendas, communication, and client management. Technical Skills: Proficiency in MS Office Suite for documentation, reporting, and analysis. Problem-Solving: Excellent analytical and problem-solving abilities, ideally within the manufacturing industry. Communication and Collaboration: Strong verbal and written communication skills, with a focus on team collaboration. Quick Learner: Adaptable and eager to acquire new skills to support the MD's evolving needs. Education and/or Work Experience Requirements: Bachelors degree. Minimum 4 years of proven experience
