Job Description

We are seeking a highly organized and proactive Executive/Personal Assistant to provide comprehensive administrative support to Managing Director. The incumbent will be the location SPOC for providing administrative support to multiple function heads/ senior leadership based out of that location. Some of the responsibilities will include: Manage executive calendars, including scheduling meetings, appointments, and conference calls. Coordinate travel arrangements, including booking flights, accommodations, and transportation. Screen and prioritize incoming emails, calls, and other correspondence. Assist with the preparation of meeting agendas and materials, and take minutes as required. Maintain confidential files and records, ensuring accuracy and compliance with company policies. Conduct research and compile data as requested by the executive team. Serve as a point of contact between executives, employees, clients, and external partners. Handle ad-hoc administrative tasks as assigned by the executive team. Requirements: • Bachelors degree in any field. • Proven experience as an executive assistant or similar role, preferably in a fast-paced environment. • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software. • Excellent communication skills, both written and verbal, with the ability to interact professionally with individuals at all levels. • Strong organizational skills and the ability to prioritize tasks effectively. • Discretion and confidentiality when dealing with sensitive information. • Multi-tasking, prioritizing/ effective time management and eye for detail would be key skills required for this role. • Ability to work independently with minimal supervision and as part of a team. • Flexibility and adaptability to changing priorities and deadlines. • Previous experience in head office of a retail sector or related field is a plus.
