Role & responsibilities Must be able to work and provide support during the night shift (CST time zone). Maintain accurate and up-to-date financial records for the organization. Preparing and issuing customer invoices based on contracts, purchase orders (POs), and service agreements Ensuring invoices include accurate details such as billing amount, due date, tax calculations, and payment terms Verifying MSA, PO, net terms, and approved timesheets before invoicing Maintaining an aging report to track outstanding invoices and overdue accounts Identifying and following up on unpaid invoices, chargebacks, and disputes Recording customer payments and receipts in the accounting system Help with reconciling bank statements, credit card statements, and other financial records. Prepare and process basic financial documents such as invoices, receipts, and payments. Ensuring accurate classification of expenses and revenue in QuickBooks and Tally Managing general ledger (GL) entries, journal postings, and adjustments Performing bank reconciliations, accounts payable (AP), and accounts receivable (AR) reconciliations Reviewing vendor invoices, approving payments, and managing cash flow Compile and prepare Goods and Services Tax (GST) reports, ensuring compliance with India tax regulations. PAYROLL (INDIA & USA): ROLES & RESPONSIBILITIES Collecting and verifying employee work hours, overtime, and deductions etc. Processing bi-weekly, semi-monthly, or monthly payroll. Ensuring payroll calculations include bonuses, commissions, and reimbursements. Calculating and deducting federal, state, and local taxes (FIT, SIT, FUTA, SUTA, FICA). Managing pre-tax and post-tax deductions (health benefits, retirement plans). Filing quarterly and annual payroll tax returns (Form 941, 940, W-2, W-3, 1099). Verifying payroll entries with general ledger (GL) accounting. Conducting regular payroll reconciliations to match bank transactions. Auditing discrepancies in tax filings or payroll reports. Using QuickBooks (USA) and Zoho (India) for payroll processing. Managing employee data in payroll software and updating salary changes. Generating payroll reports for management and finance teams. Managing payroll compliance for employees working in multiple states. Handling state-specific tax filings and unemployment insurance. Ensuring compliance with remote work tax obligations. Ensuring compliance with EPF, PT, TDS, and payroll tax filings
