Key Responsibilities: Administrative Support : Handle incoming calls, emails, and client correspondence professionally. Manage the filing and documentation of client records, invoices, and financial reports. Maintain and organize client contracts, audits, and taxation documents (physical and digital). Office Coordination : Schedule meetings between partners, clients, and team members. Coordinate data for deadlines for firms tax filings, audits, and other deliverables. Monitor office supplies and coordinate procurement in alignment with budgets. Client and Team Support : Act as the point of contact for clients for appointment scheduling and document collection. Support the team with client follow-ups, reminders, and ensuring document completeness. Coordinate on boarding for new staff, including workstation setup and system access. Technology and Systems Management : Manage subscription for office software and tools such as Tally, Microsoft Office Suite, or tax-related platforms. Coordinate with IT support to resolve system issues and ensure data security. Skills and Qualifications: 1 to 2 years of experience as an Office Administrator or similar role, preferably in a CA or professional services firm. Proficiency in accounting software and office tools (e.g., MS Office, Google Workspace). Excellent written and verbal communication skills. Ability to handle sensitive financial and client information with utmost confidentiality. Preferred Qualifications : Bachelors degree in Commerce, Business Administration, or a related field. Work Environment: Office-based role with occasional extended hours during peak tax filing or audit seasons. Collaborative and client-focused environment requiring attention to deadlines.
