Job Summary: The Office Manager will oversee day-to-day operations, manage administrative functions, and provide customer service for residents of a 176-flat residential association. This role involves coordinating with service providers, managing financial records, facilitating communication among residents and board members, and ensuring the smooth functioning of the association. Key Responsibilities: Administrative and Office Management: Manage office operations, including phone, email, and in-person inquiries. Maintain and organize association documents, contracts, and resident records. Prepare and distribute notices, newsletters, and official correspondence for residents. Schedule and coordinate meetings, including annual general meetings and board meetings. Ensure compliance with association rules, regulations, and legal requirements. Resident Relations and Customer Service: Serve as the primary point of contact for residents, addressing concerns, complaints, and inquiries. Facilitate communication between residents, board members, and external service providers. Develop and implement procedures to improve resident experience and satisfaction. Handle complaints and resolve conflicts, escalating issues to the Board or Property Manager as needed. Financial Administration: Assist with budgeting, financial forecasting, and expense tracking. Manage accounts payable and receivable, including resident fees and dues. Record financial transactions and prepare monthly and annual financial reports. Coordinate with the accounting team to ensure accurate and timely billing and payment processing. Monitor and report on delinquent accounts, issuing reminders to residents as needed. Facilities Management Coordination: Coordinate maintenance requests and schedule repairs or inspections for common areas. Maintain a list of reliable service providers and contractors, ensuring high standards of service. Monitor inventory and order office and maintenance supplies as necessary. Oversee the safety and cleanliness of the association's premises. Regulatory Compliance and Reporting Prepare necessary documentation for audits, inspections, and annual reports. Maintain records of licenses, insurance policies, and other compliance-related documents.
