Job Description

Reception Duties: Greet and welcome patients and visitors with a friendly and professional demeanor. Answer phone calls, direct them to appropriate staff, and take accurate messages when necessary. Ensure all patient check-ins are processed promptly, confirming personal information and insurance details. Assist in maintaining a clean and organized reception area. Appointment Scheduling: Schedule, confirm, and reschedule patient appointments according to availability. Provide patients with appointment reminders, instructions, and other necessary details. Coordinate with the medical staff to ensure smooth patient flow within the OPD. Patient Registration: Register new patients and update existing patient records accurately in the system. Collect and verify patient information, including insurance details, medical history, and personal data. Ensure that all paperwork is completed and filed according to hospital or clinic policies. Assisting Medical Staff: Assist doctors, nurses, and other healthcare staff by organizing patient paperwork and records. Help manage patient flow and direct patients to the appropriate examination rooms. Ensure necessary equipment and resources are available for patient consultations. Billing and Payment Processing: Provide patients with information about payment procedures and co-pays. Assist with the billing process by generating invoices and processing payments. Handle insurance claims and ensure proper documentation for reimbursement. Handling Patient Inquiries: Address patient queries regarding appointments, treatment procedures, and general healthcare inquiries. Provide information about hospital services, operational hours, and directions. Ensure that patients are informed about any delays or changes to their appointments. Medical Records Management: Maintain and update patient records in compliance with privacy and confidentiality regulations (e.g., HIPAA). Ensure proper documentation of patient visits and treatments. Manage filing of both electronic and physical patient records. General Administrative Support: Assist with filing, organizing, and maintaining office supplies and medical forms. Support with data entry and other clerical tasks as needed. Coordinate with other departments as necessary to facilitate patient care. Qualifications: High school diploma or equivalent (a degree in healthcare administration or related field is a plus). Proven experience as a receptionist, front desk assistant, or in a similar customer service role. Basic knowledge of medical terminology and healthcare operations (preferred). Proficiency with office software (Microsoft Office, email, etc.). Familiarity with electronic medical records (EMR) software (preferred). Excellent communication skills and a friendly, approachable demeanor. Ability to handle sensitive and confidential information. Strong organizational skills with attention to detail.
