Job Description Job Overview The Senior General Manager – Administration will oversee all administrative operations for VFS Global within the designated region, including regional and corporate headquarters. Additionally, the role entails providing comprehensive administrative management and logistical support to ensure seamless execution of VFS Global operations. Duties & Responsibilities Budget and Compliance Management Administrate and oversee budgets, ensuring compliance and conducting variance analysis. Maintain accurate accounting and documentation for audits, ensuring financial integrity. Document assets to facilitate finance reconciliation with SAP. Generate comprehensive admin-related reports and maintain accurate procurement details in SAP. Implement and enforce information security policies and procedures to protect sensitive data. Manage power and other amenities in alignment with ISO 14001 standards. Maintain ISO 9001 processes for efficient administration. Ensure compliance with established administration service level agreements. Facility and Logistical Management Provide seamless logistical support for all VFS Global operations and projects. Supervise efficient management of guest houses, pantries, and cafeterias, ensuring their upkeep and functionality. Manage cafeterias, ensuring provision of amenities and catering services. Procure and evaluate the performance of communication equipment. Identify and evaluate premises, conducting due diligence before finalizing agreements. Oversee timely renewal of insurance policies for property and premises. Direct major refurbishment projects and closely monitor progress. Maintain an up-to-date office equipment register and asset documentation for effective tracking. Procure office materials and capital goods while adhering to legal and regulatory requirements. Conduct training programs for administrative staff and outsourced vendors to enhance their skills and knowledge. Guarantee internal customer satisfaction among all stakeholders, fostering positive relationships. Team Management & Succession Planning Manage and develop staff, including performance management, training, and career development. Create and maintain a robust talent pipeline to ensure succession planning (1:2 ratio). Environment, Social & Governance Oversee corporate governance within the assigned region, ensuring alignment with organizational principles, policies, and regulations. Promote judicious use of natural resources and adhere to the organization's environment, health, and safety policies, objectives, and guidelines. Drive the organization's sustainability initiatives, working towards achieving established target Anti Bribery Management Systems (ABMS) Follow the ABMS roles and responsibilities details as prescribed on the ABMS manual. Understanding of ethical standards and the importance of integrity in business practices. Ability to identify and evaluate risks related to bribery in various business contexts.
