Role & responsibilities The Secretary to the Managing Director (MD) provides high-level administrative support, ensuring the efficient operation of the MD's office. This role involves managing schedules, coordinating meetings, handling confidential information, and facilitating communication between the MD and internal or external stakeholders. Key Responsibilities: Administrative Support: Manage the MDs calendar, including scheduling meetings, appointments, and travel arrangements. Prepare and organize correspondence, reports, presentations, and other confidential documents. Screen and manage calls, emails, and other communications on behalf of the MD. Meeting Coordination: Organize and coordinate internal and external meetings, including agenda preparation and minute-taking. Ensure timely follow-up on action items discussed in meetings. Communication Management: Act as the first point of contact for internal and external stakeholders. Draft, review, and distribute official communications and memos. Information Management: Maintain an organized filing system for sensitive documents and records. Ensure the confidentiality of information and manage data with discretion. Travel and Event Planning: Arrange detailed travel itineraries and manage expenses. Plan and organize corporate events, conferences, and business functions. Project Coordination: Support the MD in managing special projects and tracking deadlines. Conduct research and prepare briefing materials as required. Office Management: Oversee office supplies and other resources required by the MD. Manage external vendors and coordinate with other departments for smooth operations.
