Job Description

Key Responsibilities: 1. HR Compliance & Documentation: Ensure adherence to labor laws, statutory compliance, and company policies. Manage labor licenses, ESI, PF, and other statutory registrations/renewals. Conduct audits to ensure compliance with legal, safety, and HR policies . Maintain employee attendance, leave records, payroll, and personnel files . Handle grievances, conflict resolution, and employee engagement activities. 2. Vendor Management & Commercial Responsibilities: Coordinate with manpower & service vendors for workforce deployment. Verify & process vendor invoices and service bills for timely payments. Manage vendor negotiations and ensure contractual compliance . Oversee project billing & commercial documentation , including: Erection & Material Supply Bills (Advance, LC, MRC, PV, Retention). Vendor bill certification and payment processing. Conduct reconciliation of invoices before forwarding to accounts for payment. Maintain records of project billing, invoices, MOMs, and commercial reports . Attend internal commercial audits and ensure all compliance standards are met. 3. Material Management: Prepare & maintain GRN & MIN (Goods Receipt Note & Material Issue Note) . Keep records of incoming & outgoing materials at the site store. Conduct monthly material reconciliation with erection work. Manage entire store activities , including issue receipts, inventory, and dispatch. Monitor inward & outward material movement and prevent stock discrepancies. Perform periodic cyclic checks & stock reconciliation for material control. Coordinate with the Supplies/Purchase Department for timely material availability. 4. Site Administration & Employee Records Management: Site Mobilization & Closure : Set up & close site office, accommodation, and facilities. Guest House & Transport : Arrange lodging, transport, and vehicles for site employees. Record Keeping : Maintain attendance, leave, and workforce data . Asset Management : Track & record all company assets allocated to the site. 5. Liaisoning & Coordination with Local Authorities: Act as the primary contact for all labor law-related legal matters. Coordinate with local government bodies, labor officers, and compliance authorities . Liaison with Gram Panchayats, Pollution Control Boards, Police Departments , etc. Ensure smooth regulatory approvals, permits, and legal clearances . Technical Skills: HR Compliance & Labor Law Knowledge Vendor Billing & Payment Processing Warehouse & Inventory Control Stakeholder Management & Liaisoning Proficiency in MS Office, HRMS, and Inventory Software Key Competencies: Strong Negotiation & Communication Skills Ability to Handle Workforce & Compliance Challenges Problem-Solving & Decision-Making Multi-tasking & Leadership in a Project Environment
